Any member can post a fly-in for anyplace at any time. Even outside your region.
For reimbursement for incentives (lunch, favors, take home items) you must...
Post the event at least 5 days in advance on the club website on the Event Calendar.
The director from the event location must pre-approve your spending plan.
Save receipts and send them to the region director.
Make a list of attendees and the tail number of participating aircraft plus their departure point for mileage tally.
The region director will apply for your reimbursement to the treasurer which may take a while.
Many club fly-ins are posted and attended by members just for fun with no club financial involvement.
